Terms & Conditions
1. Registration
- Registration via Whatsapp : To register for the tour package, a several amount of down payment is required.
- Registration via website : Full payment is required.
2. Number of Participants
The group tour will proceed once a minimum of 4 participants have signed up. Meanwhile, private tours can be arranged without any minimum participant requirement (based on your request).
3. Airplane Ticket
For tour packages that already include flights, INDOUSA Travel has the right to issue airplane tickets without prior approval from the tour participants.
4. Cancellation
Cancellations or withdrawals for any reason prior to the departure date will be subject to the following cancellation fees:
- If a Down Payment (DP) has been made, the DP amount will be non-refundable.
- If the flight tickets already be issued, they will become void and non-refundable.
- For cancellations made 30-25 days before the event, a penalty fee of 50% of the tour price will apply. If flight tickets have been issued, the ticket cost will be forfeited in addition to the 50% tour price penalty.
- For cancellations made 24-15 days before departure, a penalty fee of 80% of the tour price will apply.
- For cancellations made less than 14 days before departure, a penalty fee of 100% of the tour price will apply.
5. Visa Rejection
If the visa is rejected, DP will be refunded 100% after deducting an administrative fee of Rp.500.000/pax.
6. Refund Policy
- Eligibility for Refund : If your visa application is rejected by the respective embassy or consulate, you may be eligible for a refund. To claim a refund, you must provide a copy of the official visa rejection letter from the embassy or consulate and send it to admin@indousa-travel.com with subject “Refund Request”.
- Refund Amount: In case of visa rejection, INDOUSA Travel will refund the full amount paid for the tour package, excluding the non-refundable visa processing fees and any other non-refundable charges (e.g., airline tickets, hotel bookings, etc.)
- Refund Processing Time: Upon receiving the required documents and verifying the visa rejection, INDOUSA Travel will process the refund within 15 business days. The refund will be issued through bank transfer.
- No Refunds for Other Reasons: Please note that this refund policy is strictly limited to visa rejections. Refunds will not be provided for cancellations due to personal reasons, changes in travel plans, or other circumstances beyond our control.
7. Reschedule
Please be advised that if you wish to change the date or switch to another tour event at INDOUSA Travel based on personal preferences, there will be a rescheduling fee of USD 250 per person.
8. Force Majeure
In case of force majeure, such as unexpected or uncontrollable events including natural disasters, civil unrest, or tense situations, INDOUSA Travel has the right to modify the travel itinerary without giving prior notice to the tour participants. Please note that under these circumstances, no refunds will be provided for any unfulfilled portions of the original travel itinerary.
9. Currency Exchange Rate
For tours with prices in USD, the US dollar exchange rate for payments will be adjusted based on the current value at the time the invoice is issued. When making payments through our website, please note that the currency exchange rate is set 1 USD = Rp.15.000,- Any overpayments or underpayments will be notified via WhatsApp.
10. 60 Years Old and Older Participants
Tour participants who are 60 years old or older, or have physical, sensory, or mental limitations, must be accompanied by a family member, relative, or friend who can take responsibility for them during the tour.
11. Immigration
The countries being visited reserve the right to accept or deny entry to any guests who come to visit. If a tour participant is rejected, INDOUSA Travel is not responsible for the matter.
12. Itinerary
Please note that the schedule and itinerary may be subject to change at any time due to various factors (such as airline policies, hotel arrangements, and partner agency conditions in the USA, etc.), without prior notice to tour participants. Any material and immaterial losses incurred by tour participants cannot be charged to INDOUSA Travel.
13. Special Requests
Please make sure to inform us of any special requests, such as specific meal preferences, airplane seating arrangements, adjoining or interconnecting rooms, and any other needs during the tour booking process. INDOUSA Travel will do the best to accommodate these requests, but cannot guarantee their availability, as they are subject to confirmation from the respective hotels, airlines, and restaurants.
14. Responsibility
INDOUSA Travel will provide the best service during the tour, however, we are not responsible and cannot be held accountable for the following matters.
- Accidents, loss, or delays of luggage by airlines, hotels, and other modes of transportation.
- If there are services in the package that are not used by participants due to obstacles or illness, the participants are not eligible for refunds on unused services and cannot substitute them with another person.
- Loss of time, changes in travel programs, or additional costs due to failures, disruptions, and delays in air transportation/train/other means of transportation, causing failure to depart/arrive at the destination on the specified day/time.
- Interruptions or changes in air transit travel.
- Loss of personal belongings, luggage, or items entrusted at airports and hotels, as well as criminal incidents affecting tour participants during the journey.
- Deportation or rejection from local immigration for any reason.
- And other causes beyond our control or ability.
15. Visa
If a tour participant does not already have a US visa, they should apply for one in advance. During the visa application process, participants are expected to cooperate by providing all necessary documents and attending interview appointments according to the schedule and regulations set by the embassy. INDOUSA Travel can assist you in the visa application administrative process, but cannot guarantee the acceptance/approval of the application. INDOUSA Travel is also not responsible for any fees paid by participants during the visa application process.
16. INDOUSA reserves the right to:
- Cancel or postpone scheduled tour departures if the number of participants is less than the minimum number of participants stated in point no. 2.
- Any material and immaterial losses that occur to participants cannot be claimed against INDOUSA Travel. Withdrawal for any reason will be considered as a cancellation and will refer to point no. 4.
- Adjust or modify the travel itinerary as needed based on the conditions encountered during the trip.
- Request a tour participant to leave the group if the participant in question tries to create chaos, disrupt the tour, provide false information about the tour, and other actions that are considered dangerous and detrimental to other participants and INDOUSA Travel.
- Use all tour documentation for promotional purposes, including on social media and website.
17. Participants who have made their payments are considered to have fully understood and agreed to all the points in the Terms and Conditions for the tour with INDOUSA Travel.
